Job Responsibilities
- Welcome visitors in a professional and friendly manner.
- Direct visitors to the appropriate person or department.
- Answer incoming calls promptly and professionally.
- Direct calls to the appropriate staff members.
- Maintain a clean and organized front desk area.
- Ensure the reception area is presentable and well-organized.
- Offer information about the company’s services and offerings.
- Assist visitors with general inquiries.
- Receive and distribute incoming mail and packages.
- Ensure outgoing mail is properly labeled and sent.
- Schedule appointments for internal meetings.
- Handle inquiries from clients and visitors with professionalism.
- Keep a record of visitors entering and leaving the premises.
- Ensure compliance with security and confidentiality procedures.
- Support administrative tasks as needed.
- Assist with data entry, filing, and other clerical duties.
- Report any issues with office equipment (printers, copiers, etc.) and coordinate repairs or replacements.
- Communicate with vendors and service providers to address office-related needs.
- Office Facilities Management.
- Relay messages and information between departments.
- Monitor and replenish office supplies.
